Front Office Executive (Female Candidate's Only)
Candidate should be smart, presentable with fluency in English and Kannada. Basic computer knowledge is must. Should have experience of Front Desk Management in trading company.
1. Carrying out the day-to-day duties of front desk reception in order to ensure the smooth and efficient running of the switchboard, answering telephone calls in a timely and efficient manner, transferring calls as necessary, dealing with general enquiries. 2. Coordinating the delivery and pick up of business-related documents through appropriate courier companies. Maintaining accurate records on these transactions and reconciling them with monthly statement of accounts, as provided and/or requested by the Accounts Division. 3. Ensuring, as far as possible, that complaints and concerns that you may receive are attended to speedily and satisfactorily. Informing the Management on any significant issue(s). 4. Drafting correspondence, preparing spreadsheets and creating presentations. 5. Managing the calendars of senior team members, as well as organizes necessary business travel arrangements. 6. Ordering office supplies, files documents, makes photocopies and sends and receives faxes. 7. Following up with customers on status of quotations sent and updating the management on a monthly basis. 8. Monthly stock taking of inventories on hand. 9. Greeting visitors warmly and make sure they are comfortable. 10. Scheduling meetings and conference rooms. 11. Ensuring office is tidy by coordinating with the cleaning staff. 12. Coordinating mail flow in and out of office. 13. Arranging appointments. 14. Performing basic bookkeeping, filing, and clerical duties.
